Artspiration Art School PRIVACY POLICY 
Artspiration is committed to protecting your personal information. Our Privacy Policy contains important information about what personal details we collect; what we do with that information; who we may share it with and why; and your choices and rights when it comes to the personal information you have given us. We may need to make changes to our Privacy Policy; so please check our website for updates from time to time

Who Are We 
 
Artspiration is a Home Counties based Art School for children.  We operate in various locations ( locations list can be viewed on our website) We also offer, holiday clubs, 1 to 1 lessons and other art events. 
 
This policy covers the website and classes operated by Artspiration.   We would like to reassure you that any personal data you give us will be treated in complete confidence.

What Information do we Collect? 
 
You do not have to give us any personal data in order to look at our website However, by registering with us, you agree that we may process the data below for the purposes outlined in our Privacy Policy 
 
Parents and students Information about you that we collect  and use includes: •   Information about who you are e.g. your name, email and contact details •   Information connected to your enquiry, ie location,  •   Information about your contact with us e.g. meetings, phone calls, emails / letters •   Information on student being enrolled I.e name, date of birth, emergency contact number •   Relationship to student •   If a student is over 16 years of age, please ensure that you have their permission to share these details with us. 
•   Information classified as ‘sensitive’ personal information e.g. relating to a student’s health or wellbeing, only when it impacts them taking part in a class or event.  This information will only be collected and used where it’s needed to for the benefit of student and teacher 
 
Where we collect your information 
 
We may collect your personal information directly from you, from a variety of sources, including: •   an application form for a class •   phone conversations with us •   emails or letters you send to us •   meetings with one of our teachers, or existing parents, students •   registering/attending   one of our events e.g. exhibition •   our online services such as websites, social media  
 
 
Artspiration will from time to time take photographs and film footage of students during class time to share with student peers, keep as part of a portfolio, social media, marketing and publicity material (both online and offline). You will be asked for your permission when enrolling your child. 
 
Online payments made to Artspiration by BACS or Debit Card.   Artspiration does not directly collect, process or store financial information. 
 
Teachers and Teaching Assistants If you wish to apply to become a teacher, assistant or volunteer.  Artspiration will collect details such as your name, contact details, time at your last address, whether you are a car owner, date and place of birth, and details of your hobbies and any training qualifications. We will also collect details of any relevant criminal convictions and will need to see a copy of your DBS certificate before offering you a position.   If we are applying for your DBS, we will need further documents that is required by for the DBS processing but this is not retained by us and just verified and forwarded to the concerned authorities.
 
If you wish to apply to become a teacher through our website, we will collect your name, contact details and information contained in your CV for recruitment purposes. If you provide details of a reference, it is your responsibility to make sure that the person is aware that you have forwarded his/her details for these purposes. If you are taken on by Artspiration we will store a scanned copy of the complete DBS certificate and any other relevant certificates ( ie First aid) 
 
At the application stage we ask applicants if they have had a check, At the interview stage we verify that applicants have a clean back ground by viewing the certificate and when offered role, a copy is saved. If a role is not available at the time of application, we will store your details for up to 6 years, should a position become available. 
 
 

 Other individuals If you wish to contact us for other purposes, we ask for your contact details so we can respond to your queries. If you contact us about a children’s party, 1 to 1 art lessons, or tutoring we will collect details of the child’s name and date of birth, numbers of children attending and type of party requested, where and when the party is to take place and the parent or guardian's contact details. 
 
Sensitive personal data The Data Protection Act gives special protection to sensitive personal data which will include information relating to health or sex life, race or ethnic origin, political beliefs or membership, philosophical or religious beliefs, trade union membership and information about the commission of offences and related proceedings.   Artspiration and its teachers are not required to collate or store any sensitive information . You should not be asked for this information by any of our staff and if you are, should email info@artspiration.co.uk to report.  
 
What are cookies? A cookie is a small file – it’s saved onto your computer or other device when you visit our website. Cookies store small pieces of information. For example - they will remember you've visited our website or performed a certain action. We use cookies to help us improve your experience when you visit our website. For example, a cookie might store information so you don't have to keep entering it. Cookies also let us know which pages of our website you visited; they help us develop and market classes and services.   •   Persistent cookies - these stay valid, and will work until their expiry date (unless you delete them before they expire) •   Session cookies - these expire when you close your web browser.
 
Artspiration may automatically collect information about the website that you came from or are going to. We also collect information on which pages of our websites you visit, IP addresses, the type of browser you use and the times you access our websites. However, this information is aggregated and is not used to identify you. 
 
We may also ask if you have been referred to us or how you found us but are under no obligation to reply. 
 
 
 
How will information about you be used and shared? 
 
The information we collect allows us to

 -locate and give you details of our classes in your area. 
-provide teaching services in art, art holiday clubs and exhibitions and arts awards.

- administer our websites and provide customer services

-meet legal, regulatory and compliance requirements including the administration of Artspiration, statutory obligations relating to children;

-gather management information for research purposes and to form statistical and trend analysis;

-communicate with you

-improve our websites and classes and services .

-provide you with information about our products and services which may be of interest to you from time to time. 

- have enough information to legally employ the staff.
 

We may employ the services of a third party to help us in certain areas, such as website hosting, support and maintenance, and child protection issues. In some cases, the third party may receive your information. However, at all times, we will control and be responsible for the use of your information. 
 
We may also disclose your personal data when we believe this is required by law, to enforce or comply our terms and conditions or to protect the rights, property, safety of Artspiration and its teachers and students. 
 
Use of data by Teachers Our teachers operate as freelancers .  The teachers will not hold any personal information other than that which is required for them to be effective in their role. 
 
They will hold registers, emergency contact numbers and only personal data of a student which is required to ensure they are safe in their care during that time ( ie health info)  
 
Marketing and Communications: From time to time, Artspiration and its teachers may wish to provide you with information about our classes or holiday clubs and services (including by online targeted advertising, post, phone, email and text) which may be of interest to you. If you do not wish to receive such information contact info@artspiration.co.uk to unsubscribe at any time. 
  
 
Links: Our websites may contain links to other third party websites over which we have no control. We are not responsible for privacy policies or practices of any websites to which you choose to link from our sites. We encourage you to review the privacy 
policies of those other web sites so you can understand how they collect, use and share your information. 
 
 
Security: We have implemented reasonable technical and organisational measures designed to secure your personal data from accidental loss and from unauthorised access, use, alteration or disclosure. However, the Internet is an open system and we cannot guarantee that unauthorised third parties will never be able to defeat those measures or use your personal data for improper purposes. How we protect your information We take information and system security very seriously and we strive to comply with our obligations at all times. Any personal information which is collected, recorded or used in any way, whether on paper, online or any other media, will have appropriate safeguards applied in line with our data protection obligations 
 
 
How long we keep your information? We will keep your personal information only where it is necessary to provide you with our classes whilst you are a customer or staff. We may also keep your information after this period but only where required to meet admin procedures. 
 
Right of access: You have the right of access to your personal information. If you wish to receive a copy of the personal information we hold on you, you may make a data s access request. 
 
Right to request that your personal information be rectified: If your personal information is inaccurate or incomplete, you can request that it is corrected. 
 
Right to request erasure: You can ask for your information to be deleted or removed if there is not a compelling reason Artspiration to continue to have it. 
 
 
Sales of the Business: In the event that the business is sold or integrated with another business, your details will be disclosed to our advisers and any prospective purchaser’s adviser and will be passed to the new owners of the business. This may include sharing of fee received and staff pay.
 
 

You are entitled to see the information held about you.  You may review, correct, update or change your personal data at any time.
